Pre-Admission Testing Centre (PAT) dispatches pre-admission test results & Inpatient Admission Authorization Forms (IAAF) to the Health Information Management Services (HIMS), previously known as Medical Records Office (MRO), on a daily basis. As the number of documents to be acknowledged is high (average of 18 forms per day), it takes a fairly long time for the HIMS staff to complete the acknowledgement. Thus, the PAT staff will leave the dispatch book for the acknowledgement of receipt of documents at HIMS and return to collect the dispatch book. The total time taken for each dispatch process is approximately 46 minutes. The time taken includes sorting out forms, filling in details into the dispatch book as well as the trips to and from HIMS. The turnaround time for the acknowledgement process by HIMS is long and the process of manually writing the details into the dispatch book is tedious. A revised checklist was created to tackle these problems. The checklist serves as a replacement for the dispatch book and minimized the amount of writing involved. In addition, PAT will keep a photocopy of the checklist and there is no need for a return trip to collect the original checklist from HIMS. Through the proposed measures, an average of 18 minutes was saved per trip. This is a 39% reduction of the original time taken. The time saved allowed the PAT staff to focus on other backroom duties such as filing and answering of phone calls
