War on waste in Administration: PSP with Lean

The SRF Group is a multi-business Indian multinational entity engaged in manufacturing industrial yarn fabrics and chemical intermediates. Group revenues in FY 2009-10 were approximately Rs 2500 cr, with 3800 people. A key tenet of SRF’s TQM practice has been its Problem Solving Process (PSP), with inhouse certification system), which is institutionalized in the manufacturing areas. The nature of service delivery functions being different, the standard PSP could not be systematized in non-manufacturing functions and needed a customised approach integrating Lean. The paper presents this improvement project taken up in corporate office, around “lead time reduction for taxi bill payments”, taking an average 30 days, and resulting in customer dissatisfaction. The process had many handoffs and bottlenecks. The cross functional project team (administration and accounts), which had limited grounding in any data based approach, was led through customized module based training cum facilitation rather than a standard curriculum. Applying lean thinking to this project, coupled with domain knowledge and end-to end IT enablement led to systematizing the process with low variation and faster cycle time. The successful implementation of this online module resulted in timely bill payments within an average 10 days, better scheduling and working relationship with the vendors, no errors, enhanced team productivity and substantial savings on communication cost. This project has garnered high visibility with its demonstrated success. Future challenges include achieving large scale mobilization and expanding the scope of Lean PSP to the entire organisation
