An explanation of the function and potential of XML (Extensible Markup Language) in the creation of electronic documents within organizations. It is shown how, where Hypertext Markup Language (HTML) is the standard means of presenting and laying out browser-delivered content, XML allows users to tag that content, effectively turning every document into a database. Particular attention is drawn to the fact that the adoption of XML will necessitate the users’ commitment to a more detailed understanding of business processes and to the introduction of a degree of structure to both documents and processes. The particular strength of XML in helping companies to integrate their shop window with their backend business processes is noted. Other applications of XML consist of helping companies to gear their document practices to supply chain automation systems and the implementation of electronic commerce (E-commerce) and electronic business (E-business) strategies. It is concluded that all these will necessitate a closer look at how an organization does business and focus on the establishment of basic document management policies, particularly policies for electronic document management, as a crucial step in this process.
